Project Administrative Manager

The Child, Youth, Family and Social Development (CYFSD) research programme employs a multi-disciplinary group of social scientists in Durban , Pretoria and Cape Town . The priority areas of research currently are: youth development, family studies, social inclusion, monitoring and evaluation, early childhood and HIV/AIDS.
The HSRC seeks to appoint a Project Administrative Manager on a 3-year contract to support the Project Director in the financial and organisational management of one of their research projects called Project Accept. The study is a community-based HIV/AIDS prevention intervention that attempts to impact on HIV incidence, risk behaviour, stigma and discrimination in communities in the Vulindlela area.
The level of appointment will depend on the mix of qualifications and experience of the successful candidate. The successful candidate will be based at a research site in Sweetwaters, just outside Pietermaritzburg.
Key Responsibilities:
- Provide efficient administrative, organisational and secretarial support to the Project Director and Principal Investigator of the project
- Plan, monitor, coordinate and document project activities
- Coordinate and integrate the activities of administrative staff and assistants in the Sweetwaters offices
- Manage project finances and the processing of claims and payments
- Update and maintain financial activity and performance filing systems and databases
- Prepare and monitor project budgets, expenditure, milestones, deliverables, correspondence and conferences and report on them
- Liaise with national and international collaborators and funders
- Ensure that infrastructure, equipment and services are available to ensure a high level of effectiveness and efficiency within the project
- Organise meetings, workshops and conferences and produce minutes and records
- Manage HR-related issues, including maintenance of staff files, drafting of contracts, benefits and disputes
- Maintain regular and accurate documentation of project activities, including ethics and good clinical practice documentation
- Align the administrative systems of Project Accept with CYFSD through the programme's Administrative Manager.
A relevant three year qualification is a minimum requirement, together with administrative, finance and Human Resource qualifications, and several years experience as a senior administrator/project manager with responsibilities for staff, finances, infrastructure, and corporate and client liaison.

- Flexibility and independence, and aptitude for innovation
- The ability to get on with other people and to motivate and coordinate staff
- A capacity to work under pressure and to work after hours when needed
- Presentable and confident with excellent spoken and written English fluency
- A driver's license.
The HSRC offers attractive, market-related packages. Depending on qualifications, experience and recent performance, the annual cost-to-company package starts from R124900.
